You may decline to provide optional information. If you do not provide information needed to respond to an inquiry, prepare a proposal, or perform agreed services, our ability to assist you may be limited.
2. Guest Information and Accommodation Requests
If you provide information about guests or other individuals, share only what is necessary for event planning and ensure you have appropriate authority to provide it.
For dietary, accessibility, or similar needs, please describe the accommodation required rather than providing unnecessary medical information. We use accommodation details to arrange the requested assistance and disclose them only as needed to the people providing it, subject to applicable law. Where required, we obtain consent before processing sensitive personal information.
Please do not submit Social Security numbers, account passwords, government identification documents, or full payment-card or bank-account details through our general inquiry forms or ordinary email.
3. How We Use Information
We use personal information to:
– Respond to inquiries and schedule consultations.
– Prepare proposals, estimates, designs, and event plans.
– Administer agreements, invoices, payments, refunds, and approved purchases.
– Coordinate venues, vendors, deliveries, layouts, setup, and other event services.
– Communicate about your event and provide customer support.
– Maintain business, tax, accounting, and transaction records.
– Investigate suspected fraud or misuse, resolve disputes, and protect lawful rights.
– Meet applicable legal obligations.
– Send promotional communications where permitted by law and consistent with your preferences.
Submitting an inquiry does not constitute consent to unrelated marketing. Where a new use requires additional notice or consent, we provide that notice or obtain that consent before proceeding.
4. Website Information and Cookies
We do not use website analytics tools, advertising pixels, or tracking technologies for targeted advertising.
When you visit a website, its hosting infrastructure and third-party features may process technical information such as your IP address, browser and device details, pages requested, referring page, and the date and time of access. This information may be used to deliver pages, maintain functionality, diagnose problems, and protect against unauthorized activity.
Cookies are small files stored on your device. Website and payment features may use cookies or similar technologies to maintain functionality, remember preferences, or support security. You can manage or delete cookies through your browser settings. Blocking cookies may affect certain features, including payment functionality. Browser controls do not necessarily prevent every form of technical data collection.
When you access third-party features or follow external links, those providers may collect information under their own privacy policies. PayPal’s practices are described in Section 5. Any consent or opt-out required by applicable law applies independently of your use of this website; visiting the website does not by itself provide consent to optional tracking.
5. Payments Through PayPal
We use PayPal to process payments. When you pay through PayPal, information needed to complete the transaction is provided to or collected by PayPal. Depending on the payment method, this may include your name, contact and billing details, payment credentials, transaction information, and device or browser information.
PayPal acts as an independent data controller for personal information it processes in connection with its payment services, meaning it determines how that information is used for its own payment-related purposes. PayPal processes information to facilitate payments, help prevent fraud, meet legal obligations, and for other purposes explained in its [Privacy Statement](https://www.paypal.com/us/legalhub/paypal/privacy-full).
We receive transaction information made available by PayPal, which may include your name, email address, billing or delivery details, payment amount, transaction identifier, and payment status. We use this information to confirm payment, maintain records, administer your booking, and handle refunds or disputes. For payments completed through PayPal’s checkout, PayPal handles your full payment credentials and does not provide us with your full financial information.
Privacy requests concerning information held by Avana Events should be directed to us. Requests concerning PayPal’s own processing should be directed to PayPal using the methods described in its Privacy Statement. PayPal’s privacy practices and retention periods are governed by its own policy.
6. How We Disclose Information
We disclose personal information as needed for the following purposes:
– Business support: To providers supporting website hosting, communications, administration, document storage, accounting, and payment processing, as relevant to their services.
– Event coordination and procurement: To venues, vendors, suppliers, and other authorized event participants that need information to provide requested services. For example, we may share delivery details with a supplier, setup instructions with a venue, or accommodation needs with the provider arranging them.
– Professional advice and legal requirements: To professional advisers, authorities, or other parties when needed to comply with law or valid legal process, resolve disputes, prevent fraud, or protect rights, property, or safety.
– Business transfers: In connection with a proposed or completed merger, acquisition, reorganization, or sale of business assets, subject to applicable law.
– Your instructions or consent: When you direct or authorize us to disclose information.
We do not sell customer personal information. We do not share personal information for cross-context behavioral advertising or otherwise disclose it for targeted advertising. The service-related disclosures described above support payments, event services, business operations, and legal obligations.
We limit disclosures to information relevant to the purpose. Independent venues, vendors, and payment providers may handle information under their own privacy policies and agreements.
7. Photographs, Testimonials, and Event Materials
Sharing an inspiration image, event photograph, testimonial, or planning document with us does not by itself authorize its public use. We obtain appropriate permission before using identifiable client or guest photographs, testimonials, or customer materials in our public marketing.
Any promotional use must also respect applicable guest permissions, parental or guardian permissions, and copyright ownership. Permission from the person booking an event does not automatically authorize use of every guest’s image or a photographer’s work.
We use planning materials to evaluate inquiries and perform services. Ownership and permitted use of custom designs and deliverables are addressed in the applicable service agreement.
8. Retention
We retain personal information for as long as reasonably necessary to fulfill the purposes described in this policy, including completing services, maintaining business and accounting records, meeting legal requirements, resolving disputes, and enforcing agreements.
Retention periods depend on the type of information, its purpose, and applicable legal requirements. When information is no longer needed, we delete it, de-identify it, or securely dispose of it as appropriate. Legal holds, recordkeeping obligations, and other lawful exceptions may require us to retain certain records after an event ends or after a deletion request.
9. Security
We use reasonable administrative, technical, and physical safeguards appropriate to the information we handle. We restrict access based on business needs and take reasonable steps to protect personal information from unauthorized access, loss, misuse, or disclosure.
No method of electronic transmission or storage is completely secure. If you believe information you provided to us has been compromised, contact [info@avanaevents.com](mailto:info@avanaevents.com). We address security incidents and provide notices as required by applicable law.
10. Your Choices and Privacy Rights
You may contact us to update your contact details, correct event information, change communication preferences, or submit a privacy request.
Depending on where you live and whether applicable privacy laws cover our activities, you may have rights to confirm whether we process your personal information, access or obtain a copy of it, request correction or deletion, or opt out of certain processing, including sale, targeted advertising, or certain profiling. These rights are subject to applicable exceptions and limitations.
To submit a request, email [info@avanaevents.com](mailto:info@avanaevents.com) or write to the address in Section 13. Describe your request and provide enough information for us to identify relevant records. Do not include sensitive identification documents in your initial request. We may take reasonable steps to verify your identity and, where applicable, an authorized agent’s authority.
We respond within the time required by applicable law. If we deny a request, we explain the reason where required. If applicable law provides a right to appeal, you may submit an appeal to the same email address with the subject line “Privacy Request Appeal.” We review the appeal and provide a response and information about further complaint options as required by law.
We do not unlawfully discriminate against individuals for exercising applicable privacy rights. Where applicable law requires us to recognize browser-based privacy preference signals, we honor those signals as required.
You may ask us to stop promotional emails by using the unsubscribe option provided in those messages or contacting us directly. We may continue sending communications needed to respond to your inquiry, administer a booking, process a payment, or provide requested services.
11. Children’s Privacy
Our website and contracting services are intended for adults. We do not knowingly collect personal information directly from children under 13 through our website. If you believe a child under 13 has submitted personal information to us, contact us so we can investigate and delete the information as required by law.
An adult planning a family celebration may provide limited information about a minor when necessary to arrange the event. We handle that information for the requested services and obtain any separate permissions required for promotional use.
12. Changes to This Policy
We may update this Privacy Policy to reflect changes in our services, practices, or legal requirements. The effective date at the top identifies the current version. We provide additional notice of material changes and obtain additional consent when required by law.
