What services does Avana Events provide?
Avana Events provides event management, coordination, design, layout planning, décor sourcing and procurement, and setup in Chicago. Full-service packages bring these elements together in one agreed plan. Your proposal identifies the exact deliverables, responsibilities, schedule, and costs so you understand what is included before booking.
What types of events do you work on?
We work on weddings, quinceañeras, baby showers, retirement parties, corporate parties and events, and other private celebrations. Birthdays, anniversaries, engagement parties, graduations, and family gatherings can also be discussed during your consultation. Tell us the occasion and what you have in mind so we can determine the appropriate support.
Where do you work, and do you provide a venue?
Avana Events is based in Chicago, Illinois but we service clients globally. We currently provide planning, coordination, and design at our selected and personally curated event locations. We currently partner with multiple venues. If your location is selected, share its details. If it is undecided, tell us your plans so we can discuss the information needed before design and setup are finalized. Events outside Chicago require confirmation of availability and any travel arrangements.
Do I need to have my event fully planned before contacting you?
No. You can begin with an occasion, preferred date or date range, estimated guest count, and approximate overall budget. Saved images or a few ideas are helpful but not required. We will discuss where you are in the process and whether full-service management, design and setup, or coordination support best fits your needs.
What is the difference between planning, coordination, and design?
Planning organizes decisions, priorities, and the overall approach. Coordination connects schedules, vendors, and assigned responsibilities. Design develops the visual direction, décor selections, and layout. Avana can combine these services in a full-service proposal. The agreement defines how much support you receive, when it begins, and any event-day coverage included.
Do you source the décor and handle setup?
Yes. Décor sourcing, procurement, layout design, and setup are part of the services we offer. The approved scope identifies what Avana will source, purchase or rent, arrange, and install. Costs, ownership, delivery requirements, and approvals are documented before commitments are made. Teardown, rental returns, specialty installations, and extra labor are included only if stated in the agreement.
Can I use vendors I have already booked?
Tell us which venue and vendors you have selected so we can account for them in the planning. Coordination depends on the services you book and the authority you give Avana to communicate on your behalf. Independent vendor contracts and fees remain separate unless your agreement expressly provides otherwise. Any new bookings or purchases require the agreed approval process.
How much do services cost, and how do I reserve my date?
Pricing is based on your event, the services requested, the design and setup scope, and any authorized third-party costs. Begin with a consultation to receive a written proposal. Your service reservation is confirmed after both parties sign the agreement and the required initial deposit is received, unless the agreement specifies a different confirmation process. An inquiry alone does not reserve a date.
Are deposits refundable?
All service reservation deposits become nonrefundable at the earlier of seven days after both parties sign the agreement or 30 days before the original event start. If the event is 30 days away or fewer when the agreement is executed, those deposits are nonrefundable immediately. To qualify for a deposit refund, written cancellation must be received before the applicable deadline. The policy uses exact elapsed-hour calculations and preserves legally required refunds. What happens if I cancel, postpone, or change my event?
Email info@avanaevents.com with your request. Refund eligibility follows your signed agreement and the Refund, Cancellation & Rescheduling Policy. Rescheduling requires availability and a signed amendment; it does not automatically restore an expired refund window. Separately approved décor purchases, rentals, and custom orders may have their own disclosed cancellation obligations. We will review the request and explain the applicable accounting.
